Viewing the member portal as a member

When a member has a problem with the member portal, an Owner or Admin can open that member’s portal and see exactly what they see. The view is read-only, lasts 30 minutes at most, and every use is recorded.

Who this is for: the Owner and Admins of a gallery (CartonCrew Studio). Other roles do not see the button. ChAImp support can use it during a support session only if your gallery allows it (see Allowing ChAImp support to view member portals); it is off unless you turn it on.

Steps

  1. Click Artists in the left-hand menu.
  2. On the member’s row, click Edit.
  3. At the top of the dialog, click View as this member.
  4. Read the confirmation and click Open their portal.

The member portal opens in a new tab with a banner across the top: Viewing as the member’s name (read-only), the time the view ends, and Stop. Click Stop when you are done; the tab returns to Artists.

The button appears only for an artist who has a member portal login.

What you can and cannot do

  • Every screen, nothing changed. You can open any screen of the portal. Every change is refused by CartonCrew while you view, whatever the screen shows: saving the profile, signing up for or giving away a shift, adding or editing artwork, uploading, sending feedback, and the rest. The member’s data stays exactly as it was.
  • Secrets stay hidden. The register PIN, Square passcode, payment details and any sign-in codes are masked.
  • Thirty minutes at most. The view ends after 30 minutes or on Stop, whichever comes first. Starting a new view ends the one you had open.
  • It is not their sign-in. The view uses a separate, short-lived pass tied to your own login and your gallery. The member stays signed in wherever they were.

Who you can view

  • Members of your own gallery only. A member who also belongs to another gallery shows only what they see at yours.
  • An Admin cannot view as the gallery’s Owner, and nobody can view as themself.

The member is told

The member receives an email saying gallery staff viewed their portal, and the top of their My Profile page says “Gallery staff viewed your portal on” the date. Neither names who it was. When ChAImp support viewed, both say ChAImp support instead of gallery staff, and the email says it was with your gallery’s permission.

The record

Every start, stop and expiry is written to a permanent record: who viewed, which member, which gallery, when, for how long, and from which computer and browser. The record cannot be changed or deleted, by anyone. A view by ChAImp support is recorded as ChAImp support.

Allowing ChAImp support to view member portals

ChAImp support sometimes helps your gallery in a support session. They can use View as this member only if your gallery allows it. It is off for every gallery until an Owner or Admin turns it on.

  1. Click Settings in the left-hand menu.
  2. Click the Roles tab.
  3. In ChAImp support and member portals, tick Allow ChAImp support to view member portals (or clear the tick to turn it off).
  4. Click Save.

When it is on, ChAImp support sees View as this member on Artists, Edit during a support session at your gallery, with the same limits as your staff: read-only, 30 minutes at most, your gallery’s members only, never the Owner, and recorded. Their view ends at once when you turn the setting off, or when their support session ends or runs out.

  • Only an Owner or Admin can change it. ChAImp support can see the setting during a support session but cannot change it.
  • Every change is recorded, with who changed it and when.
  • The setting shows only in a gallery that has the Artwork Catalog switched on. An organization that is not a gallery has no member portals, so its Roles tab does not show it.

Common issues

  • “This view has ended.” The 30 minutes ran out, someone clicked Stop, or your role changed. Start it again from Artists.
  • “This gallery has not allowed ChAImp support to view member portals.” (ChAImp support only.) The gallery has not turned the setting on. An Owner or Admin can turn it on in Settings, Roles.
  • “Your ChAImp support session at this gallery has ended.” (ChAImp support only.) Start a new support session.
  • “You cannot view the portal as someone who outranks you.” The member is also the gallery’s Owner. Ask the Owner.
  • The new tab did not open. Your browser blocked the pop-up. Allow pop-ups for the gallery’s address and click View as this member again.
