title: “Your classes, as an instructor”
This guide covers the Classes. If your gallery has not switched it on you will not see it in your portal, and nothing here will match what you see — ask whoever runs the gallery.
Your classes, as an instructor
For member artists who teach, or would like to. The page is called My Classes and shows the classes you are teaching, under Classes you teach, with everyone who has booked a place - and it is where you suggest a class you would like to run.
If you don’t teach yet, the classes list will simply say “No classes yet”. The Suggest a class button is there whenever your gallery runs classes.

What you see
Each class is one row. Before you open it you can already read:
- the title
- when — one date for a single session, or
6 sessions · 3 Oct 2026 – 7 Nov 2026for a course - where, if the gallery recorded a location
- how full it is — a tag reading
4 of 12 booked - Past, if it has already happened
- Cancelled, if the gallery cancelled it
The “booked” tag changes color when the class is full, so a full class is obvious at a glance.
Seeing who has booked
- Click the class title. The row opens.
- The list of students appears underneath, with a count —
4 students.
For each student you get their name, their email and phone where the gallery has them, what they paid, and the date they booked.
If nobody has booked yet it says “Nobody has booked this class yet.”
Who is waiting
If the class filled up and people joined the waitlist, they appear under the students — in order, numbered, with their email and phone. Somebody who has been emailed a claim link for a place that came free is marked Offered.
The list is only there when somebody is actually waiting; a class that never filled shows nothing.
Remove takes somebody off the list — use it when a student tells you, in the room, that they no longer want the place. They are skipped next time a place comes free, and the record stays. Nothing is deleted.
You cannot offer a place yourself: who gets the next chair is the gallery’s, and it happens automatically when one frees.
Messaging your students
Two ways, and both open a small form.
Everybody at once
- Open the class.
- Press Message everyone.
- Fill in Subject and Message.
- Send.
One person
- Open the class.
- Press Message on that person’s row.
- Fill in Subject and Message.
- Send.
The heading of the form tells you which you are doing — either “Message everyone” or “Message” followed by the person’s name. Worth a glance before you send, because “bring an old shirt” reads oddly to one person if you meant it for twelve.
What to use it for
Practical things: what to bring, where to park, that the door is round the side, that a session is running late. It reaches people who have actually booked, which is exactly the group who need to know.
Suggesting a class
Have an idea for a class you would like to run? Press Suggest a class on the My Classes page. A suggestion is a proposal, not a class: nothing is published, nobody can book it, and it never appears on the gallery’s website. It goes to the gallery, who decide.
The form asks for:
- a title
- what it is about - what students will do and come away with. If the gallery says yes this becomes the class’s starting description, so write it for a student, not for the gallery
- length, in minutes (15 minutes to 8 hours)
- how many places (1 to 100)
- a suggested price - what you think it is worth, or free
- when you could run it - in words: “Tuesday evenings”, “any Saturday in March”. You are not booking a date; the gallery sets the dates
Press Send suggestion. The gallery is emailed straight away, and the suggestion appears under Your suggestions with a Pending tag.
While it is pending
You can Edit it or Withdraw it from the Your suggestions list for as long as the gallery has not decided. Withdrawing removes it; the gallery no longer sees it.
What happens next
The gallery does one of three things, and you see which under Your suggestions without asking anybody:
- Accepted. The gallery has created the class with you as its instructor, carrying your title and description and starting from your suggested price and number of places. From here it is the gallery’s class: they set the dates, and can change the price and places, before publishing it. You are emailed, and the class appears in your classes list above once the gallery has finished with it.
- Declined. The gallery always says why - the reason is shown on the suggestion and emailed to you. Nothing stops you suggesting something else, or the same thing later if the reason was timing.
- Left pending. No decision yet. It stays editable.
A decided suggestion cannot be edited or withdrawn - it is the record of what was asked and what was answered.
If you belong to more than one gallery, the form asks which gallery the suggestion is for. Only a gallery you are a member of can be chosen, and only you can see your suggestions - other members cannot.
Online classes
If the gallery set a class of yours to online, the roster shows its meeting link and a Send meeting link button that emails it to everyone who has booked — one click, recorded in the class’s messages like anything else you send. Students also get the link in their confirmation email, so this is for the reminder the day before, or for anyone who says they lost it.
Classes on the calendar
The Calendar tab’s month and list views now also show the gallery’s upcoming classes — every published class, including members-only ones (marked Members) — with a link to the class page to book. One you have booked is marked Booked; if it is online, the meeting link is there too.
Classes you have booked
If you book a place on one of the gallery’s classes while signed in here — a members-only class, or any other — it appears under My bookings at the top of the Classes tab, with its dates, whether it is confirmed or still awaiting payment, and a Members badge where the class is members-only. You see this even if you teach nothing.
The cancellation policy
If you book a paid class and then cancel, how much comes back depends on how far ahead of the class you do it. The gallery’s standard policy is:
| When you cancel | Refund |
|---|---|
| 10 or more days before the class starts | 100% |
| 5 or more, but fewer than 10 days before | 50% |
| Fewer than 5 days before, or you do not turn up | nothing |
| The gallery cancels the class | 100%, regardless |
The boundaries fall your way: exactly 10 days out is a full refund, exactly 5 days out is half. The days are counted against when the class starts in the gallery’s own time.
Your cancel link tells you the exact amount before you confirm, and the cancellation email repeats it with the tier it was based on. A card refund usually takes a few working days to appear.
Members-only classes take no payment, so none of this applies to them.
A gallery can set its own tiers, so check the policy shown on your booking — that is the one you are actually subject to, and it is fixed at the moment you book. If the gallery changes its policy later, your booking keeps the terms you were quoted.
What you cannot do here
- Change the price, the number of places, the dates or the location. Those are the gallery’s, because they take the bookings and the money. (A suggestion’s price and places are yours to write - but they are a proposal, and the gallery may set different ones on the class it creates.)
- Cancel the class. Ask the gallery.
- Remove or refund a student. Ask the gallery. (Taking somebody off the waitlist you can do — they have no place and no payment yet.)
- Offer a freed place to somebody. The queue decides that, in order.
- Add a student by hand. Bookings come through the gallery’s own process.
None of that is a permissions oversight — the class is the gallery’s product, and you are teaching it.
If it goes wrong
A class I’m teaching isn’t listed. The gallery has to name you as its instructor for it to appear here. Ask them to check that.
The page says “No classes yet” and I do teach. Same cause as above. Nothing is wrong with your account.
I can’t see a Suggest a class button. Your gallery does not have the Classes module switched on. Suggestions only exist where the gallery runs classes through CartonCrew; ask them.
I suggested a class and it says Accepted, but it isn’t in my classes list. The gallery has created it as a draft and has not published it yet - it appears above once they have set the dates and published. Ask them if it has been a while.
A student’s phone or email is blank. The gallery only has what the student gave when booking. Use whichever one is there.
I need to reach somebody who cancelled. They drop off the list. Ask the gallery — they keep the record.
I sent a message to everyone by mistake. It has gone. Send a short follow-up; it is better than leaving people puzzled.
