Signing up for an event
Take one or more volunteer shifts at an organization’s event. No account is needed.
Who this is for: volunteers and members of the public.
Finding the sign-up page
Every event has its own sign-up page, with an address ending in
/signup/.... You reach it in one of these ways:
- a link the organization sent you by email, text or social media;
- a Sign up → link on an event listed on the organization’s website;
- a volunteer button on one of the organization’s program pages. The organization chooses its wording; if it has not, it reads Volunteer.
The website’s menu has no Events page of its own.
Steps
- Open the event’s sign-up page. It shows the event’s name, its address (a link to the map) and its description.
- Under Pick your shifts, tick each shift you want. Each shift shows its date, its times and how many spots are left. You can pick more than one.
- Fill in Your name, Email and Phone. All three are required, so the organization can match you to its volunteer records.
- Signing up family or a friend for the same shifts? Click + Add another person and enter their Name. Their Email and Phone are optional, so you can add a child or someone without email. You can add up to 3 more people, 4 in total; the button stops at 4. Each person takes one spot. To take someone off before you confirm, click Remove under their name.
- Click Confirm sign-up. The button shows how many shifts you picked (and how many people, when you added any); it reads Select a shift to continue until you tick one.
- The page says “You’re signed up!” and lists your shifts, with everyone on each one. Click Add to calendar (Add all to calendar, if you picked several). Each calendar entry holds the link you need to cancel that shift, so keep it.
- You also get an email, “You’re signed up”, listing your shifts and everyone you signed up, with its own Add to calendar button. It shows the organization’s logo at the top (when it has uploaded one) and is signed ”— From (organization name) team”. Each person you added who gave an email gets their own confirmation, saying you signed them up, with a link that cancels only their place.
Signing up a group
- A group goes on a shift together or not at all. If a shift you picked does not have a spot for everyone, nobody is signed up for that shift and the page says, for example, “Only 2 spots left”. The other shifts you picked that have room are still booked. The form warns you before you confirm.
- Each person can be on a shift only once. If someone you added is already signed up for that shift (same email), or the same person is in your list twice, the page says so by name and nobody else is booked twice.
- Already signed up and want to add family? Sign up again for the same shift with the same name, email and phone and add the people. You are not booked twice; the people you add join you, as long as there is room and the group is still no more than 4.
- A name must be just a name: one that contains a web address or an email address is refused.
What you’ll see
A shift may carry a label: Session full! (it cannot be picked) or Only 1 spot left!.
Common issues
- “This event is not available.” The event is not open for sign-up: it has not been published, it needs no volunteers, or the organization does not run events at the moment. Contact the organization.
- “No shifts are open for sign-up right now.” Every shift is closed. Check back later or contact the organization.
- A shift you picked filled up while you were signing up. The confirmation page says how many filled before you could be added; the rest are confirmed. Pick another shift on the same page link. For a group, the page says how many spots were left on that shift.
- “You can sign up to 3 more people with you (4 in total).” A sign-up holds at most 4 people. Sign the others up separately.
- No confirmation email. Check your spam folder. Your sign-up still counts; the calendar file from the confirmation page is enough to cancel.
- Wrong shift, or you need to cancel. See Managing or cancelling your signup.
- “Gallery shifts are signed up for in the member portal. Sign in there to take a shift.” This event is for the gallery’s member artists; members take shifts in their member portal, not on this page.
