The Hub (front-desk screen)

The Hub is a full-screen page for the people on duty at a gallery’s front desk, at /hub on the gallery’s CartonCrew address. An Owner or Admin makes the desk computer a Hub once; after that, each person signs in with their own 6-digit code. There is no shared gallery code. The Hub does not need Square or the Register.

Who this is for: gallery Owners and Admins setting the Hub up. The Hub is for art galleries only: an organization that is not an art gallery has no The Hub tab in Settings, even with Artwork Catalog switched on. The full walkthrough for everyone at the desk is the Studio guide The Hub.

Make the desk computer a Hub

  1. On the desk computer, sign in as an Owner or Admin.
  2. In the sidebar, open Settings, then the The Hub tab.
  3. Under This computer, type a name in Name for this computer, then press Make this computer a Hub.
  4. Open /hub on that computer, then sign out of CartonCrew. The Hub keeps working without your sign-in.

The computer is remembered in that browser only. Under Desks on the same tab you see every Hub desk with when it was made a Hub and when it was last seen; Revoke stops a desk at once and signs out everyone on duty there, and Unlock opens a desk locked by wrong codes.

Sign-in codes

Each person sets their own code: staff in Settings → The Hub (the Hub sign-in code card) or from My security on the user menu; members in the member portal under My Profile, Hub sign-in code. It is the same code as the Register PIN, and setting it does not need Point of Sale. Who can sign in on the tab lists everyone who has a code and is still part of the gallery.

Locks and pills

  • Lock the Hub after this many idle minutes (default 5): an idle Hub hides its pills and panels but keeps everyone on duty; any on-duty person’s code unlocks it. An open urgent notice still shows over the lock (message, sent time and how many are open, nothing else); acknowledging it there always needs the on-duty person’s own code and leaves the Hub locked.
  • Wrong codes before the desk locks (default 5) and Desk lock minutes (default 15): after that many wrong codes at one desk, nobody can sign in there until the time passes or you press Unlock.
  • Pills: tick the pills to show and use Up and Down to order them, then press Save Hub settings. Online Sales works (new online sales with a red badge and Acknowledged by buttons, see the Studio guide The Hub), and so do Member Calendar (read only; opens this month as a month calendar like the member portal, with a List switch that shows today and later days only) and Member Directory (find a member by name: name, phone and email, nobody listed until at least 2 letters are searched, every search recorded against the person on duty), and so does Inventory (the pieces in the gallery now and not sold, with picture, title, artist, SKU, price and where each one is, or Location not recorded; one search box for piece, SKU or artist; read only); pills not built yet show on the Hub as Coming soon. A new pill starts switched on, at the end of the row.
  • Send an urgent notice to the Hub (also Noticeboard → Send to Hub): plain text up to 500 characters; it shows full screen on every Hub desk until someone on duty presses Acknowledged by (recorded against that person), and Withdraw takes back one nobody has acknowledged. Only an Owner or Admin can send or withdraw a notice; an Editor, Viewer, Treasurer or member cannot. Urgent notices and Running Sales (how many sales today, split Register, Square and Online; counts only, never a dollar amount) always show and are not pills.

To switch the Inventory pill on or off: in the sidebar open Settings, then the The Hub tab; under Pills, tick or untick Inventory; press Save Hub settings. Turned off, the pill leaves the Hub and the desk can no longer read the inventory. Where a piece is comes from its place in the Studio (Artworks, open the piece, Location).

Common issues

  • The Hub says “This computer is not a Hub”: the desk was revoked, the browser’s data was cleared, or it went unused for 60 days. Make it a Hub again.
  • A person is missing from the sign-in screen: they have no code at this gallery yet, or their membership has ended.
