Sending a campaign
End-to-end: pick a comms style → choose recipients → write the body → preview → send (or schedule).
Who this is for: anyone with campaigns.manage to compose, plus campaigns.send to fire.
Steps
- Open Email Campaigns → + New campaign.
- Name — internal label, not shown to recipients.
- Comms style — pick one (or define a new one first in Comms styles).
- Subject — recipient-facing subject line.
- Recipients — pick a contact source:
- All Volunteers / All Requesters / All Donors etc.
- Or specific tags + filters.
- The recipient count updates live; CartonCrew filters out anyone below the comms style’s consent tier.
- Snapshot recipients (toggle) — freeze the list now vs. re-evaluate at send. See Recipient snapshots.
- Body — Markdown supported. Use Insert helpers to drop org / recipient fields. Click AI draft to start with a Claude-generated draft (see AI drafting).
- Preview — opens an in-app render with one of the recipients’ details substituted in.
- Send now — fires immediately. Or Schedule to pick a future time.

Common issues
- Send button disabled — you don’t have
campaigns.send. Compose-only role; ask an Admin to send. - Recipient count zero — the comms style’s consent tier is higher than any contact has. Either lower the gate (and verify it’s allowed) or update individual contacts’ tiers.
- One recipient missing — they’re on None consent or unsubscribed.
