title: “Signing in as a member artist”

Signing in as a member artist

For member artists. There is no password to remember: the gallery emails you a short code, you type it in, and you are in.

If you also have a staff role at the gallery, read If you are also gallery staff further down — there are two different doors and it matters which one you use.

If you are a guest artist

A gallery can invite you to show as a guest rather than as a member. You sign in exactly the same way, with an emailed code. Your portal then shows My Profile and My Artwork — your own details and your own works — and not the parts of the portal that are for the gallery’s members (the calendar, sales, notices and text alerts). The gallery may also have opened the member Member Directory, My Membership (with Gallery Documents) or class suggestions (under My Classes) to its guests; if so, you will see those pages too. If you think something is missing, ask the gallery.

Before you start

You need:

  • the web address of your gallery’s member area — it ends in /portal, for example yourgallery.com/portal
  • the email address the gallery has on file for you, and be able to open it

You do not need a password. There isn’t one.

Signing in

  1. Go to your gallery’s member area — the address ending in /portal. The page shows your gallery’s logo and shows your gallery’s name followed by Member Login at the top.
  2. Type your email address into the box labeled Email address.
  3. You may see a small box that checks you are a person, not a program. Most of the time it ticks itself after a moment; if it asks, tick it. Email me a code stays greyed out until it is done.
  4. Press Email me a code. The page says: If this email is registered with (your gallery) for member sign-in, you’ll receive a 6-digit code shortly. It says the same thing whatever address is typed, so it cannot be used to find out who is a member.
  5. Open your email. You are looking for a message with a 6-digit code, like 418302. The code is also in the email’s subject, for example 418302 is your (your gallery) sign-in code, so you can often read it straight from the notification without opening the message.
  6. Type those 6 digits into the box labeled 6-digit code.
  7. Press Sign in.

That’s it — you land on your own profile page.

If you started from a link to a particular page — the Calendar Login link on your gallery’s website, or a link in an email — signing in takes you straight back to that page instead.

Finding the page again

Under the sign-in box there is a Bookmark this page button. Web pages are not allowed to add themselves to your bookmarks, so the button tells you how to do it on the device you are using:

  • On a computer: press Ctrl + D (Windows) or ⌘ Command + D (Mac).
  • On an iPhone or iPad: tap the Share button (the square with an arrow pointing up), then Add to Home Screen or Add Bookmark.
  • On an Android phone: open the browser menu (the three dots), then tap the star, or choose Add to Home screen.

On some phones the button reads Add this page to your home screen instead: pressing it asks your phone to add the member area as an icon on your home screen.

Signing in from Calendar Login

Some galleries have a Calendar Login link at the bottom of their website. It is the same sign-in as above: your own email address and a 6-digit code, no password. Afterwards you see only the shift calendar — see The calendar-only screen. On your own phone or computer, tick Keep me signed in so you don’t have to type a code every time.

Signing in faster with a passkey

A passkey lets you sign in with your fingerprint, your face or your device’s PIN instead of waiting for an emailed code. It lives on your phone or computer (or in your Apple, Google or Microsoft account), and there is still no password.

Adding a passkey. You add one while you are signed in, in either of two places:

  • Right after you sign in with a code. The portal opens and a box asks Sign in faster next time? Add a passkey, with two buttons:

    • Add a passkey: your phone or computer asks you to confirm with your fingerprint, face or PIN. When it is done the box says Passkey added; press Done.
    • Not now: the box closes and you carry on. Closing the box with the ✕, pressing Escape or tapping outside it counts as Not now. The box is not shown again for 30 days; after that it asks once more the next time you sign in with a code.

You are already signed in behind the box, so whatever you choose, nothing signs you out and the portal is ready to use.

  • On My Membership. Press Me, then My Membership. At the top of the page an Add a passkey card shows until you add one or dismiss it. Press Add a passkey and confirm on your device, or press Dismiss to hide the card for good.

If you cancel your device’s prompt, or it does not finish, the portal says The passkey was not added. You are still signed in, and you can add one later from My Membership. Nothing else changes.

Once you have a passkey, neither the box nor the card appears again.

Signing in with your passkey.

  1. Go to your gallery’s member area, the address ending in /portal.
  2. Under Email me a code, press Sign in with a passkey.
  3. Your phone or computer asks you to confirm with your fingerprint, face or PIN. Confirm it.

You land in the portal, just as after a code. If you cancel, or the passkey is on another device, the page says Passkey sign-in did not finish. You can try again, or sign in with an emailed code. The emailed code always works as before.

Good to know:

  • Sign in with a passkey only appears where passkeys work: on your gallery’s member area at its cartoncrew.online address, in a browser that supports passkeys. If you do not see it, sign in with a code.
  • A passkey sign-in keeps you signed in on that device for up to a week while you use it. On a shared computer, press Sign out when you finish.
  • Your answers (Not now, Dismiss) are remembered on your account at this gallery, so they follow you to every device. If you are a member at two galleries, each gallery asks separately.
  • If you lose the device your passkey is on, sign in with an emailed code as usual.

Finding your way around

Everything in the member area is reached from two rows of buttons under your gallery’s name. The rows are the same on a computer, a tablet and a phone; a phone is not a cut-down version.

The top row has three large buttons, each with a small picture: Me, My Work and The Gallery. The button for the group you are in is highlighted. Press one to open that group’s first page.

The second row shows only the pages of the group you chose. The page you are on is highlighted. Press a page to go there.

Top-row buttonPages in the second row, in order
MeMy Profile, artMail (or opsMail), My Membership
My WorkMy Artwork, My Other Works, My Sales, My Classes
The GalleryNotices, Calendar, Member Directory, Gallery Documents

So, for example: press Me, then My Membership; press My Work, then My Other Works; or press The Gallery, then Notices. Pressing Me on its own opens My Profile, My Work opens My Artwork, and The Gallery opens the first page in that group you can see (usually Notices).

On a phone, or in a narrow window, a row that does not fit wraps onto another line; nothing scrolls sideways. You can also use a keyboard: Tab moves from button to button, and Enter or Space opens the one you are on.

Unread counts. If your gallery has the noticeboard on, the number of notices you have not opened sits on The Gallery button (and on Notices when that row is showing). If your gallery has artMail on, the number of unread messages sits on Me and on artMail. You can see there is something to read from any page.

The portal opens on My Profile unless you have chosen another page in My Profile → Your portal → Start the portal on (see Choosing the tab the portal opens on).

Text Alerts is not a page of its own. It is a section on My Profile: press Me, then My Profile, then scroll to Text Alerts (see Text alerts from your gallery).

Older names, for anyone who remembers them: until October 2026 My Other Works was called My cards & prints (it is where you list your card and print designs; see Cards and prints), My Membership was called Membership Info (and held the gallery’s documents, which are now Gallery Documents), Notices was called Gallery Notices, Gallery Documents was called Gallery Documentation, Member Directory was Directory, and Text Alerts was a tab of its own. Links you saved to the old pages still open them; an old Text Alerts link opens My Profile at its Text Alerts section.

Not every member sees every page. artMail, Member Directory, Notices, Gallery Documents and the Text Alerts section appear only if your gallery has switched those modules on, and My Classes only if you teach or have booked a class (or your gallery has the Classes module). A group with no pages for you shows no button. A page you cannot see is one your gallery has not turned on, not something that has gone wrong.

If you are a member artist and a staff user of the same gallery, the bar at the top of every member portal page shows Switch to Staff Portal, beside Sign out, on a computer and on a phone alike. Press it and the gallery’s staff app opens, already signed in: there is no second sign-in and no code.

To come back, click Switch to Artist Portal in the bar at the top of the staff app (on a phone, tap your photo or initials at the top right, then Switch to Artist Portal).

  • The button only appears when you hold both at the same gallery. A member artist at one gallery who is staff at another does not see it.
  • Switching changes nothing about what you can see: the member portal still shows only your own profile, work and shifts, and the staff app still uses the staff role your gallery gave you.
  • Sign out in either one signs you out of both.

Light, dark or match your device

If the portal is hard to read on the screen you are using, change its appearance. There are three choices:

  • Light: dark text on a light background.
  • Dark: light text on a dark background, easier on the eyes in a dim room.
  • System: follows whatever your phone or computer is set to, and changes with it. This is where every member starts.

Once you are signed in, the Appearance button sits at the top of every page, beside Help (the question mark). It shows a sun, a moon or a small screen, depending on your choice. Tap it and pick one. The page changes straight away.

Before you sign in, the same three choices sit at the bottom of the sign-in page.

Your choice is remembered on that device, even after you sign out or close the browser. A different phone or computer starts on System until you choose there too.

The code expires after 10 minutes

If you leave it longer than that, the code stops working. Nothing is broken; ask for a new one.

Asking for another code

If the email doesn’t arrive, press Resend code.

Asking again within 10 minutes sends you the same code again (and gives it a fresh 10 minutes), so every email you receive in that time carries the same 6 digits and any of them works. You only get a different code once the old one has been used, has expired, or has been typed wrong three times.

If you leave the sign-in page to read the email (on a phone, opening your mail app can close the page) and come back within 10 minutes, the page opens straight at the code box for the address you typed. Type the code; there is no need to ask for another. Use a different email takes you back to the start.

The page makes you wait 60 seconds before it will send another. While you wait, the link reads Resend in 45s and counts down, so you can see how long is left. That pause is deliberate, not a fault. When the wait is over, the “are you a person” box may appear again above the link — tick it if it asks.

After 5 codes in 15 minutes to the same address, no more are sent until the 15 minutes are up, even though the page still says a code is on its way. This stops anyone filling your inbox with codes. Use the most recent code you received, or wait a few minutes and try again. If you still get nothing, check your spam folder, then ask the gallery to confirm the email address they have for you.

”Keep me signed in”

There is a tick-box labeled Keep me signed in under the code entry. It is switched off unless you tick it, and that is on purpose.

  • On your own phone or computer, ticking it keeps you signed in on that device for about three months. Each time you use the member area the three months start again, so if you check in now and then you will rarely need a new code. After three months without opening it you are signed out, and you sign in again with a code.
  • Left unticked, you are signed out when you close the browser.
  • On a shared computer — the gallery’s desk machine, a library, a friend’s laptop — leave it unticked. Otherwise the next person who opens that browser is still signed in as you, for months.

Pressing Sign out ends it straight away on that device, ticked or not.

If you also have a staff role at any gallery, ticking the box keeps you signed in for up to a week while you use it, and never three months; the three-month version is for member-only accounts. Left unticked, it works exactly as it does for everyone: you are signed out when you close the browser, and after 24 hours at the latest.

If in doubt, leave it alone. Typing six digits again is a small price.

If it goes wrong

“Your membership at … has ended, so the member portal is closed to this account.” Your gallery has recorded an end month for your membership, and it has passed. The portal closes at that gallery from the first day of the month after your end month. If you think that is wrong, contact the gallery; they can correct the end month on your record, and you can sign in again straight away.

The email hasn’t arrived. Check the junk or spam folder first — that is where it usually is. Then check you typed the address correctly. If it still hasn’t come, the gallery may have a different address on file for you than the one you are checking.

A code is only sent to an address the gallery has on file for member sign-in: your artist record, with member login switched on, and a membership that has not ended. Any other address is sent nothing, and the page still shows the same sentence. If you are sure the address is right and nothing arrives, ask the gallery to check that member login is switched on for you.

“I don’t think the gallery has my right email address.” You cannot change it yourself, and that is a safety feature rather than an oversight: if you could change the address the code is sent to, so could anyone who got into your account. Ask the gallery to update the email on your artist record, and they can do it in a moment.

The code says it isn’t valid. The page tells you which of three things happened:

  • That code isn’t right. A digit is mistyped, or the code is from an older email. Use the code from your most recent sign-in email; the code is in the subject line, so check the newest one. Asking again within 10 minutes sends the same code, not a new one.
  • That code was tried too many times, so it no longer works. After three wrong tries a code stops working, even if you then type it correctly. Press Resend code to get a new code, and use the newest email.
  • That code has expired. It is more than 10 minutes old. Ask for a new one.

I pressed sign in and nothing seems to happen. You may be signed in already but not as a member artist at this gallery — see the next section.

I get “You’re signed in” but no profile page. That message means the sign-in worked, but this account is not a member artist at this gallery. If you are gallery staff, use the staff app instead — the page gives you a button to it. If you believe you should be a member artist here, ask the gallery to check your artist record.

Some people are both — you show your work at the gallery and you help run it. The two are separate, and there are two doors:

What you want to doWhere to go
Your own profile, your own artwork, your shifts, your classesthe member area, ending in /portal
Run the gallery — the catalog, events, sales, other people’s recordsthe staff app, ending in /admin

Each door now points at the other. The member sign-in page has always said where the staff app is; since September 2026 the staff sign-in page says where the member area is, so you do not have to remember the address. You will only see that line at a gallery — on an organization that has no member artists there is nothing to point at.

The staff door works differently

At /admin you can sign in with Google, with Microsoft, with a passkey, or with an emailed code like the member area. Depending on how your gallery has set things up, it may then ask you for a second step to confirm it’s you. That extra step applies to staff access only, and it is meant to be there — running the gallery is the more powerful of the two.

When the system asks you which one you want

If your account holds both roles, the member area will ask rather than guess:

How would you like to continue?

You will see two choices — one for continuing as gallery staff, and one for continuing as an artist, named with your artist name so you can see which identity is on offer.

Two things worth knowing:

  1. Choosing one does not give up the other. It is simply two signposted doors, not a permanent setting. Go to the other address whenever you like.
  2. It grants you nothing new. Each side still checks what you are allowed to do when you get there. Picking “staff” does not make you staff.

If the member area says it’s a staff account

You may instead see:

You’re signed in. This account is gallery staff here, so it uses the staff app rather than the member portal.

with a Go to the staff app button. That means the gallery’s records have you as staff but not as a member artist. If you should also be listed as an artist here, ask the gallery to add your artist record — then you’ll get the choice above.

If the gallery changes the email address on your artist record, your sign-in moves to the new address. You get one email at each address, titled Your details at … were changed, listing the change and saying “You now sign in with” the new address. After that:

  • Sign in with a code sent to the new address. The old address no longer signs you in.
  • You are signed out on every device.
  • Any passkey, password, Google or Microsoft sign-in or authenticator app you used before is removed. Once you are signed in with a code you can add them again.

If you did not ask for the change, reply to that email so the gallery can help.

If you get an email about a new sign-in

When your account is signed in to on a device or browser it has not been used on before, CartonCrew emails you at the address you sign in with. The email is titled New sign-in to your … account, with the gallery’s name in it, and says:

  • which gallery it was,
  • when it happened, in the gallery’s time zone,
  • the device and browser, in plain words (for example “Safari on an iPhone”).

The very first time you sign in, nothing is sent. Signing in again on a device you have used before sends nothing either. Using a private window, or clearing your browser’s cookies, makes the browser look new, so you may get an email then.

If it was you, there is nothing to do.

If it was not you, sign out of all devices straight away:

  1. Open the member area and go to My Profile.
  2. At the bottom of the page, under Signed-in devices, click Sign out everywhere.
  3. Click Yes, sign me out everywhere. Every session ends, including the one you are using, and you go back to the sign-in page.
  4. Sign in again with a new code.

You can also tell the gallery’s Calendar Manager or an administrator. They can sign you out of every device for you.

The email never contains a sign-in code or anything you could sign in with. Nobody from the gallery or CartonCrew will ever ask you for your code.

What’s next

Finding help

The ? button at the top right of every portal page, beside Sign out, opens the member guides in a new tab.
