title: “The member directory”

This guide covers the Member Directory. If your gallery has not switched it on you will not see it in your portal, and nothing here will match what you see — ask whoever runs the gallery.

The member directory

For member artists. The page is called Member Directory (it was called Directory until October 2026), and it is the list of the other member artists at your gallery, with a way to reach them.

New here? Start with Signing in.

Your gallery may not have this. The member directory is a module a gallery chooses. If there is no Member Directory page when you press The Gallery, your gallery has not turned it on — that is a decision for the gallery, not a fault and not something you have been left out of. Ask them if you need it. Everything below assumes the page is there.

What it is, and what it is not

It is a members’ contact list — the other artists who show at your gallery.

It is not a list of gallery staff. If you need the person who runs the desk, the program or the sales, ask at the gallery; staff are not in here.

It is also private to members. A visitor to your gallery’s website cannot see this page, and neither can somebody who is not a member artist there.

Finding somebody

  1. Press The Gallery, then Member Directory. This works the same way on a computer and on a phone.
  2. Type into the box labeled Search — it expects a name.
  3. The list narrows as you type.

You can search on any part of a name, and on first or last name. Typing kess finds Ada Kessler, and so does typing ada. You do not need to know which way round the gallery filed them.

Leave the box empty to see everybody.

Sorting the list

Under the search box, Sort by offers First name A-Z (the default) and Last name A-Z. Where a member has no last name on file, their name’s last word is used, and two people with the same last name are ordered by first name.

Your choice is remembered the next time you open Member Directory, for you only, and it follows you: sign in on a different phone or computer and the list opens in the order you chose. It is not shared with other members. If the page cannot reach the gallery when it opens, it uses the order last chosen on that device. Sorting never changes who is listed.

What each person’s entry shows

  • their name (and their pronouns, if they have given them; a member who chose Prefer not to say shows no pronouns)
  • their phone number and email, joined by a dot — or “No contact details on file” if the gallery has neither — or, if they have chosen to keep their details to themselves, the line “This member has chosen not to share their contact details.”

Calling, texting or emailing a member

The phone number is shown as (425) 555-1000, followed by two links:

  • Call dials the number. On a phone it opens your dialer with the number filled in; on a computer it opens whatever app you use for calls, if any.
  • Text opens a new text message to the number (on iPhone and Android).

The email address is itself a link: press it to open a new email to that member in your mail app.

So, to call someone: press The Gallery, then Member Directory, find them (type part of their name into Search if the list is long), then press Call under their name. To text, press Text in the same place; to email, press their email address.

A number that is not a full ten-digit US number is shown as written, with no Call or Text link. An entry with no phone number has no Call or Text, and an entry with no email has no email link. A member who has kept their details out of the directory, or whose gallery hides everybody’s, has no links at all: the links only ever use what the directory already shows.

That is all. The directory does not show what anyone works in — that belongs on your profile and your artist page, not in a contact list.

The list is ordered by first name, A to Z, unless you choose otherwise: see Sorting the list.

The dot only appears when there are two things to separate. If an entry shows “No contact details on file”, the gallery has neither a phone number nor an email for that person. Your own phone number is yours to add — see setting up your profile.

If an entry says “This member has chosen not to share their contact details.”, that person is a member and is in the directory — they have simply ticked Exclude from Member directory on their own profile, which keeps their phone and email out of it. Their name stays, so you can still see who is in the gallery; ask at the gallery if you need to reach them.

Who appears, and who does not

This is worth knowing, because a missing person is usually one of these rather than a fault:

Not listedWhy
Guest artists and show artistsThe directory is member artists only. An artist whose portal login is of kind Guest is never listed, whatever their category. A guest can open the directory only if the gallery has turned that on for guests.
Members who have leftThey drop off once their end month has passed — not when the date is first recorded. Somebody leaving in November stays in the directory through the whole of November and goes on 1 December.
Gallery staffNever in here — see above.

And one case that is listed, but differently:

Listed by name onlyWhy
Anybody who ticked “Exclude from Member directory”They are still a member and still in the list, but their phone and email are withheld and their entry reads “This member has chosen not to share their contact details.”

If an entry says “Your gallery does not share members’ contact details in the directory.”, the gallery has chosen to hide everybody’s phone and email. Names are still listed.

Keeping your own details out of it

Tick Exclude from Member directory on your profile and save. From the next time anyone opens the directory, your entry shows your name and “This member has chosen not to share their contact details.” in place of your phone and email. Untick it and save, and your details are back.

Your name stays in the list either way — the directory is also how members see who is in the gallery, and hiding a person entirely made it look as though they had left. Excluding yourself does not affect your artwork, your shifts, or your artist page on the gallery’s website.

If it goes wrong

There is no Member Directory page at all. Your gallery has not switched the module on. Nothing is broken and you have not been opted out of anything — the page appears for every member of a gallery that has it. Ask the gallery; their owner can turn it on in Settings › Extensions.

I had the page yesterday and today it is gone. The same thing: somebody at the gallery has turned the module off. If you had bookmarked the page directly, opening it now says “The member directory is not switched on” rather than showing an error.

Somebody I know is a member isn’t listed. Most likely they are recorded as a guest or show artist rather than a member, or their membership has ended. The gallery can tell you which. (Somebody who has excluded themselves is still listed — by name, with no contact details.)

An entry says they have chosen not to share their contact details. That is their choice, made on their own profile, and the directory respects it. Ask at the gallery if you need to reach them.

Their phone number is missing. Only they can add it, on their own profile. Nobody can fill it in for them.

I searched a name and got nothing. The page will say “No member matches” and suggest “Try part of a first or last name.” — so try a shorter piece of it, kess rather than kessler-smith. If you clear the box and it says “No members listed yet” with “Members appear here once the gallery has added them”, then the gallery has not recorded any member artists at all, which is worth mentioning to them.

I don’t want my phone number in here, but I do want my email. Clear the phone field on your profile and leave the email alone. The entry shows whichever of the two is filled in.

What’s next

In Settings → Member directory the gallery decides whether members can hide their phone and email from the directory. The tab is there only when the Member Directory module is switched on. Pick one and press Save:

ChoiceWhat members see
Each member decidesThe default, and how it has always worked. A member ticks Exclude from Member directory on My Profile to hide their phone and email.
Always shownEvery member’s phone and email are shown to the other members. The box on My Profile is greyed out and unticked.
Always hiddenNo member’s phone or email is shown; names are still listed. The box on My Profile is greyed out and ticked.

Changing it never erases a member’s own choice. Go back to Each member decides and every member’s box is as they left it.
