title: “Gallery Documents”
This guide covers the Noticeboard. If your gallery has not switched it on you will not see it in your portal, and nothing here will match what you see — ask whoever runs the gallery.
Gallery Documents
For member artists. Gallery Documents is the gallery’s standing shelf of documents and links — the bylaws, the member handbook, the insurance certificate, the commission schedule, the shared folder. Until October 2026 it was the second half of the Membership Info page, and for a few weeks it was called Gallery Documentation; it is now a page of its own.
To open it, press The Gallery, then Gallery Documents. It is the last page in that row (Notices, Calendar, Member Directory, Gallery Documents). This works the same way on a computer and on a phone.

Your gallery may not have this. Gallery Documents is part of the Noticeboard, which is a module a gallery chooses. If there is no Gallery Documents page when you press The Gallery, or the page says “Gallery Documents is not switched on”, your gallery has not turned it on — that is a decision for the gallery, not a fault. Ask them if you were expecting to find a document here. A guest artist sees this page only if the gallery has opened it to guests.
What it is, and what it is not
Notices are for things that are dated: a change of hours, a call for work, a leak in the roof. They go out, you read them, and they expire.
Gallery Documents is for things that stay current. The gallery arranges it, in the order it wants you to see it, and it does not change unless the gallery changes it. There is nothing to mark as read and no unread count — it is a shelf, not a feed.
It is private to members. A visitor to your gallery’s website cannot see it, and neither can somebody who is not a member artist there.
What is on the shelf
Each item has a title, sometimes a line of description, and one of two things behind it:
- A link — a document that lives somewhere else, such as a Google Drive
or SharePoint folder. Tap the title and it opens in a new tab. The
line under the title tells you where it goes (
drive.google.com), so you know before you tap. You will need whatever access that site asks for — the portal cannot sign you in to somebody else’s folder. - A file — a document the gallery uploaded. Tap the title, or Download, and it downloads. The line under the title tells you the type (PDF, Word, Excel, PowerPoint, or an image) and the size.
If you belong to two galleries that both use this, you see both galleries’ shelves in one list, each labeled with its gallery.
When the shelf is empty
“Your gallery has not added anything here yet.” means exactly that. The gallery has the Noticeboard switched on and has not put anything on the shelf. Nothing is hidden from you.
If it goes wrong
The link goes to a sign-in page or “you need access”. That is the other site, not the portal. The gallery shared a link to a document it keeps there; ask the gallery to give you access to it.
The download does not open. The download link lasts an hour. Go back to Gallery Documents and tap the title again for a fresh one. If it still fails, tell the gallery — the file may have been taken down.
An item you saw last week is gone. The gallery can take an item off the shelf, or hide it while it is being revised. If you need it, ask them.
