AI Insights
Ask questions across your CartonCrew data — clients, engagements (and their history), documents, volunteers, donors, and grants — and get plain-language answers with links back to the records they came from. It also surfaces risk and opportunity cards and sends a weekly digest.
Who this is for: everyone in an organization with the AI Insights extension on can read answers, cards and digests. Asking a question needs Editor or above; Reindex now is for Admins and Owners.
What it requires
AI Insights works only when all of these are true:
- The AI Insights extension is on — an Owner turns it on under Settings → Extensions. Without it, AI Insights is not in the sidebar and its pages are refused.
- AI features is On for your organization — the master switch under Settings → Organization → AI, in the AI features card. When it is off, every AI call is refused with AI is disabled for this organization, and no weekly digest is sent.
- Your plan includes AI, or you bring your own key — Pro and Complete include a monthly AI allowance; on other plans, add your own key from a vetted provider on the same AI tab. When the allowance is used up, asking stops until it resets next month.
- Your data is indexed — answers come only from indexed data. An Admin clicks Reindex now on the Insights tab after big changes.
Usage is billed by the AI provider (Anthropic Claude, with Voyage AI embeddings for search) against that allowance or your own key.

Key things it does
- Retrieval-augmented search over your CartonCrew data: it finds the records that match your question, then answers from them.
- Answers qualitative questions (find / summarize / surface), with citations — not exact counts or totals (use a module or a Report for “how many”).
- If nothing relevant is indexed, it says so: Not enough indexed data — Reindex (Insights tab, admin) and try again.
- A weekly digest emailed to your organization’s Owners and Admins and archived in the Digests tab. The email comes from your organization’s own name and carries your logo, address and contact details, using the same branded layout as the rest of your organization’s mail.
