Noticeboard

One place for the notices your members need to see — the roof repair, the holiday hours, the call for the spring show — with a record of who has read what. It replaces the email thread and the paper on the wall.

Who this is for: everyone in the organization can read the board; editors, admins and owners write on it. It appears as Noticeboard in the sidebar when the extension is on (Settings → Extensions; galleries get it switched on at setup, Ops organizations opt in).

What’s here

TabWho sees itWhat it does
BoardeveryoneThe published notices, newest first, with urgent notices pinned to the top under a red Urgent badge. Open a notice to read it, like it, and view or download its attachments.
Manageeditors and aboveDrafts, scheduled and published notices; write, edit, publish, schedule, unschedule and archive.
Membership Infoeveryone reads; editors and above manageThe standing shelf: links to documents elsewhere and files uploaded to private storage — bylaws, handbook, insurance, the Drive folder — in the order you arrange them. Members see the published ones on the Gallery Documents page of their portal. See Membership Info.
Archiveadmins and ownersArchived and expired notices; restore one to the board, or delete it for good.
Analyticsadmins and ownersWho read each notice, how many liked it, reach and first opens by day; board summary cards. See Analytics.

Member artists read the same notices in the member portal (they press The Gallery, then Notices), and the shelf on Gallery Documents (they press The Gallery, then Gallery Documents).

Worth knowing when a member asks where their pages went: the portal has two rows of buttons, the same on a phone and a computer. The top row is Me, My Work and The Gallery; the second row shows that group’s pages. There is no menu button. What else they see is in What a member sees below.

Key things it does

  • Urgent pins a notice to the top of every board and shows it in red. Switching Urgent on also ticks Email all members for you (you can untick it).
  • Expires on takes a notice off the members’ board at that moment and moves it to the Archive on the next hourly run. Times are shown on your organization’s clock (Settings → the gallery timezone); with none set, your browser’s.
  • Schedule publishes at the next hourly run after the time you pick. The Manage tab says exactly that under the notice — “Goes live at the next hourly run after …” — and Publish now is always available if you cannot wait.
  • Email all members sends every current member one branded email pointing at the notice when it is published. This is real email and it cannot be undone — there is no recall. Once per member, however many times it is published or the hourly run passes. See Scheduling and email for who is emailed, where replies go, and Resend to unsent.
  • Opening a notice records that you read it. Scrolling past it does not. Admins see who has read what on the Analytics tab; members only ever see counts.

Roles

RoleCan
Viewer (and the gallery roles curator, show manager, front desk, guest artist)read the Board, mark read by opening, like, view and download attachments
Editoreverything above, plus write, edit, publish, schedule, unschedule, mark urgent, set expiry, attach files, tick “Email all members”, archive
Admin / Ownereverything above, plus the Archive tab (restore and permanent delete) and the Analytics tab (who read what, with names)

The server enforces the actions, not the tabs. Restore, Delete and every Analytics route refuse an editor outright — those are not hidden buttons, they are refusals. Reading the archived list is different: the Archive tab is hidden from an editor, but the underlying list is available to editors by design, on the grounds that an editor who can archive a notice can see what they archived. Treat the Archive tab as an admin convenience over a shared list, and Restore and Delete as the things only an admin can actually do.

Writing a notice

  1. Open Noticeboard, go to the Manage tab and click New notice. Give it a Title (up to 200 characters).
  2. Write the body in the editor: headings, lists, bold and italic, quotes, links and images. Links open in a new tab.
  3. Tick Urgent — pinned to the top with a red badge and set Expires on if they apply. Tick or untick Email all members when it is published — this sends real email to every current member when the notice publishes, and it cannot be undone.
  4. + Attach file if the notice needs one. You do not have to save first — attaching to a notice you have not saved yet creates the draft for you, and the confirmation says so. Remove beside a file asks first, in the editor (Remove or Keep); a removed file is deleted straight away and Cancel does not bring it back.
  5. Save draft keeps it to yourself. Publish now puts it on the board. Schedule… opens a Publish at date and time; click Schedule and the notice goes on the board at the next hourly run after it.

An editor can come back to a published notice and change it — the button reads Save changes then; it stays published and no email is re-sent.

If you paste something the board cannot show — for example a script, an embedded frame, or an image from another site — the server removes it before saving. When nothing is left the editor tells you: “Nothing to show after removing unsupported content.”

Attachments and images

Attachments (the + Attach file button) are private. PDF, Word, Excel, PowerPoint, PNG, JPEG or WebP, up to 25 MB each, ten per notice. A reader downloads one through a signed link that expires after an hour; a link forwarded outside the organization works only until then, and a fresh one is minted only for someone signed in to the organization.

View (AB#12337). A PDF or a picture (PNG, JPEG, WebP) attachment also has View, on the Board card, in the editor and on the member’s notice page. It opens the file in a viewer on the same page — a PDF’s pages scroll, a picture is fitted — with Download and Close; on a phone the viewer fills the screen and a PDF can also open in the phone’s own viewer. View asks for the same one-hour link and passes the same access checks as Download. The file is shown inline only when its stored type is a PDF or one of those pictures; Word, Excel and PowerPoint keep Download only, with “Preview not available for this file type”, and are never sent to an outside viewer service. A link that has run out says “This link has expired, reopen the notice”.

Images placed in the body (the picture button in the editor toolbar, up to 5 MB, image files only) are different: they are stored at a public URL that never expires, the same way images in email campaigns are. Anyone who has the URL can open the image — even after the notice is archived or deleted. Use an inline image for the poster and the photo of the new kiln; use an attachment for the price list, the contract, the roster.

What a member sees

The half of this module you cannot see from the Manage tab. Worth knowing before you publish, because it is what you are actually causing to happen.

  • An unread count — a red number on the portal’s The Gallery button, and on Notices when that row is showing. It is how many published notices they have not opened: scrolling past a title does not clear it, and neither does dismissing the urgent band. Opening the notice does, one at a time. The list shows the same thing in words — “3 notices you have not opened yet”, or “You are up to date.”
  • A red urgent band for anything you mark Urgent — not on the board, but across the top of every page of their portal, with the title and a Read button. They cannot dismiss it; opening the notice is the only thing that clears it, and if another urgent notice is waiting the band immediately shows that one. Urgent notices also sit at the top of their list until opened.
  • Attachments by name under the notice, each with Download (and View for a PDF or picture), behind a link good for an hour. A member who comes back to a stale download opens the notice again and gets a fresh one. Images you placed in the body appear inline.
  • A like count and a Like button. Members see the count and nothing else — never who read a notice and never who liked it. Names exist only for you, on the Analytics tab.

Send members to their own walkthrough rather than explaining it twice: Notices from your gallery.

Archive

A notice reaches the Archive by being archived from the Manage tab or by expiring. Members no longer see it; the record of who read and liked it is kept.

  • Restore puts it back on the board as published. If its expiry had already passed, the expiry is cleared so it does not vanish again an hour later — the confirmation tells you when that happened.
  • Delete removes the notice, its attachments and its read and like records permanently. The button stays disabled until you type DELETE.

Switching the extension off hides the module and refuses its routes but keeps the data; it is back when the extension is switched on again. Removing the extension’s data is a separate, explicit purge.
