title: “AI Usage & Spend”
This guide covers the AI Usage & Spend module. If your gallery has not switched it on (the Owner does that in Settings → Extensions), this page will not match what you see — skip it for now.
AI Usage & Spend
For gallery staff who run the gallery: an Owner or an Admin. AI Usage & Spend shows what your gallery’s AI use has actually cost, against the monthly allowance ChAImp includes with your plan. It has no sidebar item and no Settings tab of its own: it is one card, headed AI usage & spend, at the top of Settings → Organization → AI.
It is the companion to AI Insights. AI Insights and the other AI-assisted parts of the product do the work; this card tells you what that work cost.
Before you start
- Who can see it. The whole AI page is for an Owner or an Admin. Anyone else who opens it sees only Only an Admin or the Owner can manage the AI provider settings. Ask one of them to set this up. and no figures.
- Switching it on. AI Usage & Spend is an extension. It is listed under Settings → Extensions as AI Usage & Spend, and it is included on the Pro and Complete plans. Only the Owner or an Admin sees the Enable button; everyone else reads Ask the owner to enable this extension. If your plan does not include it, the card says so instead of offering a button.
- The AI master switch. The AI features card on the same page has to be On for AI to run at all. The spend card reports whatever the switch allows; it does not turn anything on.
Finding the card
- Choose Settings in the sidebar.
- Choose the Organization tab. It opens on Branding.
- Choose AI in the row of buttons underneath.
AI usage & spend is the first card on the page, above AI features.
What the card shows
Under the heading the card says Your actual Claude usage from Anthropic — no markup. Four figures follow:
| Figure | What it is |
|---|---|
| Yesterday (UTC) | The cost of one whole day, yesterday, measured in UTC rather than your gallery’s own time zone. |
| Month to date | The cost from the 1st of the current month (UTC) until now. |
| Included allowance | What your plan includes this month, or a figure ChAImp has set for your gallery specifically. No cap when your allowance is uncapped. |
| Remaining | Included allowance minus Month to date. It never shows less than $0.00, and reads No cap when your allowance is uncapped. |
When there is an allowance to measure against, a bar sits underneath with the
caption <n>% of this month’s included allowance used. The bar turns amber at
80% and red at 100%.
Where the figures come from. Usually from CartonCrew’s own record of every AI call ChAImp pays for in your gallery, priced at Anthropic’s rates. That is the same figure your included allowance is checked against, and the card says so underneath: Month to date comes from CartonCrew’s own record of every AI call ChAImp pays for in your gallery. That record is kept by month, not by day, so in this case there is no Yesterday (UTC) figure and the card shows three figures instead of four. When that record cannot be reached, the card falls back to Anthropic’s own cost report for an AI workspace ChAImp has set up for your gallery alone, which does show Yesterday (UTC).
Either way, the figures are your gallery’s only. Another gallery’s spend is never added in, and yours never appears on theirs. No two galleries can share an AI workspace, and the workspace ChAImp uses for everyone’s calls together is never counted as any one gallery’s.
The card is read-only. It has no buttons: nothing to refresh, export, cap or top up. The allowance itself is set by ChAImp; changing it is a conversation with ChAImp, not a setting.
The figures are not live. They are held for up to 45 minutes before they are fetched again, so something you did a few minutes ago may not be on the card yet. Reloading the page does not force a fresh figure.
Is any of this a bill?
No. The dollars on the card are what Anthropic charged for your gallery’s AI use, shown at cost so you can see it. On the Pro and Complete plans, ChAImp funds that use up to the included allowance. When the month’s allowance is used up, AI calls are refused for the rest of the month with This month’s included AI allowance has been used. It resets next month; contact ChAImp if you need more before then. The rest of the product keeps working.
If you use your own API key
An Owner or Admin can add your own provider key on the same page, in the Your own API key card. Once a key is saved, the spend card shows no figures. It says instead that AI calls run on your own API key, with your own provider, that they are billed to that provider’s account and not by ChAImp, and that Your provider’s own dashboard is where that usage lives.
That is deliberate: calls on your own key never touch ChAImp’s allowance, and ChAImp does not record them, so any figure here would be wrong. To go back to the included allowance, press Remove key in the Your own API key card.
If ChAImp provides your AI at no cost, ChAImp pays for every call, and the card shows the normal figures even if an old key is still saved.
When it goes wrong
The card says AI usage & spend is switched off. It reads AI usage & spend is included in your plan, but it is switched off. Your plan includes the extension, but nobody has turned it on yet; every gallery starts with it off. Ask the Owner to enable AI Usage & Spend under Settings → Extensions.
The card shows an upgrade paragraph and no figures. It reads AI features, with a monthly allowance funded by ChAImp and built-in usage & spend tracking, are included on the Pro and Complete plans. Your plan does not include AI Usage & Spend. Changing plan, or an allowance for the plan you have, is a conversation with ChAImp.
The card says AI usage & spend is not switched on for this organization. The card could not check your plan this time. If your plan includes the extension, the Owner can enable it under Settings → Extensions.
Both figures read $0.00 with “Usage tracking will appear here once your AI
workspace is set up.”
ChAImp has not yet set up the reporting workspace for your gallery. You cannot
do this yourself; ask ChAImp. Your allowance is still in place, and AI still
works.
“AI cost reporting unavailable.” or “AI cost reporting is temporarily unavailable.” The figures could not be fetched this time. It is a reporting problem, not a billing one, and AI keeps working. Try again later.
“AI cost reporting is not configured.” Spend reporting is not set up for this installation. Report it to ChAImp.
Included allowance and Remaining both read No cap.
ChAImp has given your gallery an allowance with no cap, so there is nothing to
count down and no bar. The card says Your plan does not cap AI spend, so there
is no allowance to count down. Yesterday (UTC) and Month to date still
show what was spent.
The numbers look out of date. They are held for up to 45 minutes. Come back later.
I cannot see the card at all. The AI page is for an Owner or an Admin. Check you are on Settings → Organization → AI, not Branding.
